A well-established financial planning firm is looking to recruit an IFA Administrator to join its Bristol office. Working within a small and supportive administration team, you will provide essential support to Financial Advisers while helping to deliver an efficient and professional service to clients.

This role would suit an experienced IFA Administrator; however, candidates with strong financial services administration experience and a genuine desire to develop within financial planning will also be considered.

The position offers a salary of up to £32,000, depending on experience, alongside hybrid working with three days per week in the Bristol office.

The Role

You will support advisers throughout the client journey, from preparing for meetings and processing new business through to completing annual reviews and ongoing pension and investment administration.

Your responsibilities will include:

  • Collating client information and preparing documentation ahead of adviser meetings
  • Preparing annual review packs, basic client reports and supporting documentation
  • Processing new business and top-up applications through provider platforms
  • Checking that all required compliance documentation has been completed
  • Processing Letters of Authority and requesting information from providers
  • Handling pension and investment administration
  • Processing fund switches, fund purchases and sales
  • Arranging ad hoc income withdrawals and other client instructions
  • Updating Intelligent Office with new business details and client information
  • Uploading documentation and maintaining accurate, compliant client records
  • Completing actions arising from annual review meetings
  • Liaising with clients, advisers and product providers
  • Responding to telephone and email enquiries professionally and promptly
  • Preparing and sending client reports and correspondence
  • Supporting colleagues during busy periods and assisting with ad hoc projects

The Person

Previous experience within an IFA or financial services environment would be highly advantageous, particularly if you have worked with provider platforms and processed new business.

The successful candidate will be organised, accurate and comfortable managing multiple priorities while maintaining a high standard of client service.

You will ideally bring:

  • At least one year’s experience within an IFA or financial services environment
  • Experience using provider platforms
  • Knowledge of new business processing
  • Experience with Intelligent Office or Intelliflo Office would be advantageous
  • Strong administrative and IT skills
  • Excellent attention to detail
  • Clear and professional written and verbal communication
  • The ability to manage and prioritise your workload effectively
  • A collaborative and supportive approach to teamwork
  • The discretion required to handle confidential client information
  • A reliable, adaptable and client-focused attitude
